Track Project Status 

You can assign project parameters to documents in the repository, then view and export the status report on individual projects or all projects in the repository.

If you do not assign repository item status before you query for overdue items or create a status report, query results are empty. You cannot assign project parameters to a repository folder.

Project status calculation is based on how much time has passed since the start of the project, how much time is left to complete the project, and the percentage of the project that is finished. For example, if you've used 31% of the time, but you're less than 31% done, then the project is at risk, so yellow ‘Behind schedule’ status is shown. If you aren't finished and the due date is passed, the status is red. Status indicators may appear in the repository window. They are defined as:

Create project status parameters

Modify Status permission is required (see Permissions Reference).

  1. In the Repository window, right-click an item and choose Properties.

  2. In the Item Properties dialog box, click the Project Status tab and enter project parameters such as project name, start and end date, and percentage of the work that is complete.

When you click OK, the project status indicator may appear in the repository window.

Create a project status report

  1. On the Repositories menu, point to Repository and choose Project Report.

  2. If you want to save the report to a file, click the Copy button and paste the contents from the clipboard in an editor such as Excel.

Search for overdue projects

On the Repositories menu, point to Repository and choose Overdue Items.

Results display in the query window.
