Set Cycle Management Parameters for Users and Groups

The first step in cycle management is to define a user list with actions required as explained in the Public Groups procedures and Private Groups procedures.

Whether user groups are public or private, you must choose parameters to describe how a cycle completes. For example, you can specify that all users or groups must complete the action in a specific order. The result is that one user or group cannot take action on an item until another user or group does before them. This is called serial cycle management.

Procedure

Set parameters for a serial cycle

  1. On the Repositories menu, point to Repository and choose User Groups.

  2. In the User Groups dialog box, select a repository-level user group or create a new group.

  3. Click the Edit button.

  4. In the User Group dialog box, ensure that you have two or more users assigned to the group.

  5. Click the arrows to toggle through parameter options and choose All users or groups need to complete the action in order.

  6. If you need to reorder the list, select a user or group and then click the Move Up or Move Down button.

  7. Click OK to dismiss the dialog boxes.

Set parameters for an unordered cycle

  1. Follow steps 1-4 in the procedure to set parameters for a serial cycle.

  2. Click the arrows to toggle through parameter options and choose

    • x of y need to complete the action to limit the number of users who need to take action for the cycle to complete, or

    • All users or groups need to complete the action in any order to complete the cycle after all users have taken action.

  3. Click OK to dismiss the dialog boxes.
